AMČR and MUSEION: easy recording of finds and an open door for other systems

Museums using MUSEION no longer have to record the same finds twice. The link with the Archaeological Map of the Czech Republic works in both directions – and the API behind it is open to other systems and field apps too.

Museums handle two kinds of archaeological data: records of the excavations they run themselves, and the finds that enter their collections from those excavations and elsewhere. Until now the two lived in separate systems, so the same details were typed in twice – more paperwork, more room for error. In a project supported by the PRAK SHAPE programme of the Czech Academy of Sciences, we worked with Axiell to connect the Archaeological Map of the Czech Republic (AMČR) with MUSEION, the country’s most widely used museum collection-management system. And we opened the API behind it to other systems as well.

One find, recorded once

The integration works in both directions. MUSEION sends data to AMČR and reads data back from it, so the two systems stay consistent without retyping. Each function corresponds to one of seven scenarios that both systems number the same way, S1–S7; we give the number in brackets so the details are easy to find in the documentation.

From the museum record straight into AMČR-PAS

A recorded find can be sent from MUSEION to AMČR-PAS, the AMČR module for individual finds, with a single button – one at a time or for a whole group of records (S2, S3). On export the museum chooses the state the record enters in AMČR-PAS, its access level, and which images travel with it. MUSEION then stores the find’s AMČR identifier and links to AMČR and the Digital Archive.

Finds exported from MUSEION behave like any other AMČR-PAS record.

A selected record or a whole group of records can be easily sent from MUSEION to AMČR-PAS.

Registration numbers that keep up by themselves

A find usually enters a museum’s records in two steps: first a temporary number in the auxiliary register, then a permanent inventory number once it joins the collection. Until now the number in AMČR had to be corrected by hand. Now MUSEION updates it in AMČR on request – in bulk too – and the change is traceable in the record’s history.

To make this possible, AMČR now distinguishes the organisation whose project a find was recorded under from the organisation it was actually handed over to, so the museum holding the find can work with it even if the project is not its own.

AMČR data without retyping

The link also works the other way (S4, S5). Give an object in MUSEION the identifier of an AMČR-PAS find or an archaeological event, and selected details – such as the site, find circumstances and dating, plus photographs for AMČR-PAS finds – can be loaded onto its catalogue record.

Where the finds ended up

In the AMČR Digital Archive, projects, events and individual finds can now show which connected museums hold related objects, and under which numbers (S6). The data is retrieved on request, live from the museum’s own records, and a filter lists every record linked to a museum collection.

The museum decides how much it shares, record by record: only the registration or inventory number (BASIC), or selected descriptive data as well (FULL). Storage location and valuation are never shared, and no photographs travel this way. Providing data is covered by a simple, free-of-charge agreement between the museum and the Institute of Archaeology; a template (Czech) is published in the AMČR help. The Institute does not keep copies of the object data and always credits the museum as its source.

The AMČR Digital Archive can provide information about specific objects held in museum collections.

Bulk import from a spreadsheet

For larger sets of finds, MUSEION has a new bulk-import wizard (S7). It works with a simplified 31-field spreadsheet that can be filled from a licensed archaeological organisation’s records or an older spreadsheet register, and the original find numbers are kept.

Collection object data can be bulk imported into MUSEION using a pre-filled spreadsheet.

A shared language

For data to move safely between systems, both have to speak the same language (S1). Each museum maps its vocabularies – object, material, dating, find circumstances and others – once onto AMČR’s controlled vocabularies, which are published machine-readably through OAI-PMH. MUSEION warns on export if a term is still unmapped.

An open door for other systems

At the core of the integration is the AMČR-PAS API: the interface for recording individual finds in AMČR-PAS, updating their registration numbers and attaching photographs. It is not reserved for a single vendor. Any integrator working with an authorised AMČR account can connect, and MUSEION is its first, reference client.

The developer reference documents the endpoints, the XML element contract, status codes, rate limits and retries, with worked examples in cURL and Python. The API is a natural fit for offline field applications for recording finds, which collect data without a connection and submit it once one is available.

The pilot MUSEION–AMČR integration paves the way for easy integration of AMČR with other systems.

What comes next

The integration ships with MUSEION 5.6 as part of its standard licence, at no extra charge. It was verified and handed over in July 2026 and tested end to end in production in August. This autumn we will present it to museums together with Axiell and support the first institutions as they connect.

AMCR Outage

A planned AMCR outage will take place on 21 May 2025.

On Wednesday, May 21, 2025, at 5:50 p.m., there will be a planned shutdown of AMCR due to a server room network connection failure. AMCR will be restarted within a few tens of minutes.

Digital Archive Outage

The Digital Archive will be unavailable on 2 August 2024.

In connection with the ongoing transition to the web version of AMCR and the related technical modifications, the Digital Archive will be shut down on Friday, August 2, 2024. The shutdown will last several days, and the Digital Archive will be relaunched next week. The new web version of the AMCR application will also be launched at the beginning of next week. We will keep you informed about the launch and related news.

AMCR Outage and Migration

Desktop AMCR has been discontinued; migration to the web version is in progress.

The AMCR desktop client has been permanently shut down and the system is being migrated to the web version of the application. The AMCR and API will be unavailable for two to three weeks, and the AMCR Digital Archive may also experience outages. At the same time, the accompanying websites will also be migrated to the new version, i.e., this AMCR home page, the help section, and the form used to report construction or other projects carried out in areas with archaeological finds. During the downtime, you can already familiarize yourself with the new application at https://amcr-tr.aiscr.cz/ (your user account created before June 3, 2024, has been transferred to this version, or you can register as a new user). End of Desktop AMCR Client

The desktop AMCR client will be discontinued on 13 July 2024.

From July 13, 2024, the AMCR desktop client will be permanently shut down and replaced by a new web version of the application. For two to three weeks, the AMCR desktop client and AMCR API will be unavailable, and the AMCR Digital Archive may also experience outages. At the same time, the accompanying websites, this AMCR home page and AMCR help page (https://amcr-info.aiscr.cz/help/), and the form used to report construction or other projects carried out in areas with archaeological finds (https://amcr-info.aiscr.cz/oznameni) will also be migrated to the new versions.

In connection with the transition to the new version of AMCR, two online training sessions primarily intended for OAO (archaeology) employees will take place on June 26 (https://cesnet.zoom.us/j/96080975576) and July 10 (https://cesnet.zoom.us/j/98701161691), both starting at 9:00 a.m. via the Zoom application.

Please submit notifications of construction or other projects carried out in areas with archaeological finds in advance by mid-July, or later in the new application. During the outage, please address urgent notifications directly to the archaeological heritage departments of the Archaeological Institutes in Prague (https://www.arup.cas.cz/oznameni-o-stavebni-cinnosti-na-uzemi-s-archeologickymi-nalezy/) and Brno (https://www.arub.cz/archeologicke-sluzby/informace-pro-stavebniky/). Confirmation of compliance with the reporting obligation will be sent for these cases after the launch of the new version of AMCR at the beginning of August. If you need confirmation earlier, it will be issued upon request.

The Digital Archive has been updated.

The Digital Archive has been updated with a number of new features! These include the ability to download full versions of documents, improved preview generation, added user help, a new way of browsing, automatically generated citations, and many other minor fixes and improvements that will ensure greater user comfort. Notification System Updates

The notification processing system has been updated.

The system for processing notifications in the online form for reporting construction or other interventions has changed. In order to limit the issuance of confirmations with incorrect or incomplete information, confirmation of notifications is now sent to the specified email address only after the content has been checked by the Archaeological Institutes.

All Text Documents Published

All text documents in the Digital Archive have been made available.

All text documents stored in the archives of the Institute of Archaeology of the Czech Academy of Sciences in Prague are now available in the AMCR Digital Archive. This marks the completion of the first stage of digitization and online access to the entire archive collection.

New AMCR API

A new AMCR API has been released.

Since June 2019, a new API interface has been made available as part of the AIS-2 project, which is used for bulk data extraction from AMČR via the OAI-PMH protocol. The API, including all documentation, is available at https://api.aiscr.cz/. You can now directly connect AMČR as a data source in your projects!

Corpus of Czech Hillforts

The Digital Archive now offers over 5,000 photographs of hillforts linked to sites and enriched with metadata.

More than 5,000 photographs of hillforts by Jiří Marounek are now available in the Digital Archive.
They are linked to corresponding sites and fully described with metadata.
Plans from the publication Encyclopedia of Hillforts in Bohemia are also attached.

The corpus now includes over 350 verified and precisely defined sites, which are also available in AMCR.
